Customer experience and management assistant

You will act as Customer Experience and Management Assistant. Reporting to the Assistant Executive Director, you will receive incoming calls, provide relevant information to customers, promptly redirect calls, and greet visitors at the reception desk. You will also assist the management team by providing effective administrative support.

Administration                                                                                                                                                 

-  Answer and direct telephone calls in a professional and courteous manner

- Greet and direct visitors

- Process mail and prepare mailings and courier shipments

- Manage the organization’s website e-mail box

- Prepare and write reports, letters, and presentations, from written sources

- Prepare, attend some meetings, take minutes and ensure follow-ups

- Make travel arrangements and complete expense reports

- Establish and administer proper filing and reminder systems

Communications/Campaign

- Daily media monitoring

- Analyze the website every month and propose changes

- Establish a monthly social media posting calendar and make the postings

- Receive confirmation of attendance at events

- Update the media list annually

- Order campaign materials and follow up as necessary

- Enter data

- Maintain inventory of campaign materials

Social Development

- Support the team in the management of testimonial conferences

- Perform agency referrals

Do you have the must-haves for the job?

- Proficiency in Microsoft Office, social media and various applications (WordPress, Survey Monkey, etc.)

- College diploma in office administration or equivalent or relevant experience

- Bilingualism (French/English oral and written)

- Excellent writing skills

- Impeccable customer service

- Creative spirit and attention to detail

- Ability to work on several projects at once every day

- Ability to work under pressure and meet deadlines
